Client Profile

A specialist manufacturer operating a make-to-order production model with a mix of standard and bespoke products.

The Challenge

The business had recently expanded production capacity but found that planning, purchasing, and production visibility were not keeping pace. Management suspected the ERP platform required significant customisation.

The Discovery Sprint

Sysgraft conducted an on-site discovery sprint combining operational observation, stakeholder interviews, process mapping, data review, and a technical integration assessment.

What We Found On Site

The primary issue was not system capability but inconsistent process execution across departments. Key findings included:

API Audit Findings

Hurdles Overcome During Discovery

One of the biggest challenges was distinguishing genuine system limitations from process issues. Several requirements initially described as software shortcomings were ultimately traced to inconsistent operational practices.

Another hurdle involved uncovering data ownership responsibilities. Different departments maintained overlapping records, resulting in duplicate and conflicting information.

API Audit Findings

The API review identified several opportunities to automate processes that were currently being handled manually. The audit revealed:

  • Existing API capabilities were significantly underutilised
  • Data synchronisation between systems was occurring through scheduled file imports rather than real-time integration
  • Multiple duplicate integrations had evolved over time with overlapping responsibilities
  • Error handling and monitoring were largely absent, making issues difficult to identify

Hurdles Overcome During Discovery

One challenge was that different departments described the same process in conflicting ways. Workshops were used to map the end-to-end customer journey and establish a shared understanding of how work actually flowed through the business.

A second hurdle involved undocumented integrations that had become business-critical over time. These were identified and documented through system tracing and staff interviews.
