Is this not just another expensive software project?

The discovery sprint is a fixed fee before you commit to a build, so you know exactly what you are getting.
What if the project overruns or the scope expands?
A fixed-price build proposal is only issued after a completed discovery sprint. The sprint defines scope, confirms API availability, and produces a detailed SOW. The build price is then fixed against that scope. Any additions are treated as separate work, scoped and priced separately — not added to the running total.
What if we want to stop? Are we locked in?
No long-term trap, but to be precise: the monthly subscription has a 12-month minimum term, then 30 days' written notice. IP transfers to you on go-live regardless, you own the code, and full documentation is provided. You could take the codebase and self-host it at any point; we make sure you have everything needed to do so.
Does our ERP even have an API?
"Our ERP doesn't have an API" is almost always wrong. Dynamics 365 Business Central, OrderWise, and Sage 200 all expose documented REST APIs. The discovery sprint includes a live API audit using your credentials — we validate coverage before any build price is issued. If API coverage is insufficient for what you need, we tell you.
What about GDPR and data security?
All applications are hosted on UK/EU-region cloud infrastructure as standard, using a managed edge compute platform and a managed cloud database service. Authentication is handled via Microsoft Entra ID (SSO), meaning no passwords stored in our system. A data processing agreement is included with every engagement. We are currently working toward NCSC Cyber Essentials certification.
We already tried a no-code tool like Power Apps and it didn't work.
This is one of the most common conversations we have. No-code and low-code platforms work well for simple internal dashboards and basic approval workflows. They consistently fail at complex business logic — BOM explosions, multi-tier pricing, batch traceability, deep ERP synchronisation with write-back validation. Sysgraft builds in full code. There is no ceiling on what we can implement, and the result looks and performs like a production-grade application rather than a configured tool.
Will this break when our ERP is updated or upgraded?
ERP vendors version their REST APIs and provide migration paths and advance notice of breaking changes. We monitor release notes for all supported platforms and handle API updates as part of the monthly subscription. We also build using an adapter pattern — the ERP API integration is isolated in a single layer, so if an endpoint changes, only that adapter needs updating rather than the entire application. We include an ERP upgrade notification clause in the client SLA.
How do we know the ERP API covers what we need?
That is exactly what the discovery sprint establishes. We authenticate against your live ERP using your credentials, pull data from every entity relevant to your use case, and test write-back where required. If API coverage is insufficient for the scope you need, we tell you — and we tell you before you commit to a build. We will never issue a fixed-price proposal for something we have not validated technically.
We only have 3 people in IT — can we manage this ongoing?
The monthly subscription means you do not need to manage it. Hosting, security patching, and maintenance are all covered. Your IT team's involvement after go-live is minimal — occasional access provisioning and being the internal point of contact for feature requests. We handle everything else. If your IT team ever wants to take over hosting directly, full documentation and source code are provided.
What if Sysgraft ceases to operate?
You own the code outright from go-live. IP transfers to you on completion. The application is built on React, Next.js, and TypeScript — mainstream technologies with millions of developers worldwide. Full documentation is provided. If the worst happened, any competent developer could pick up the codebase and continue. We also offer a code escrow arrangement on request for clients who want additional reassurance.
We are mid-ERP contract — can we do this now or do we need to wait?
Yes, now. Sysgraft does not touch your ERP contract, licensing, or configuration. We connect to it via its public API — the same way any authorised integration would. Your ERP vendor's contract is unaffected. If anything, a better interface layer reduces the pressure to replace the ERP at contract renewal, giving you more negotiating leverage.
